Privacy Policy

This Privacy Policy explains how personal data is handled when you use the AutoTranslatorEN website, Discord bot, billing dashboard and support services.

1. Personal data we collect

Discord account data

When you log in using Discord, we may receive and store:

  • your Discord user ID;
  • username and display name;
  • profile avatar;
  • the date and time you last logged in to the website;
  • information needed to maintain your website session.

Discord authentication is handled through Discord OAuth. AutoTranslatorEN does not receive or store your Discord password.

Discord server data

We may process:

  • Discord server IDs and server names;
  • server icons;
  • whether the connected Discord account owns a server;
  • which server has been selected through the dashboard;
  • the configured translation channel;
  • role IDs used for whitelist and blacklist settings;
  • member opt-in and opt-out settings;
  • server filter rules and bot-access restrictions.

Billing and purchase data

When a subscription or top-up is created, we may store:

  • Stripe customer identifiers;
  • Stripe subscription identifiers;
  • Stripe checkout-session identifiers;
  • invoice and payment-intent identifiers;
  • purchase type, price, currency and payment status;
  • payment, fulfilment and cancellation timestamps;
  • character balances and character usage;
  • subscription status and access-expiry date;
  • the Discord user ID belonging to the person who owns the billing account.

Stripe processes your payment-card information. AutoTranslatorEN does not receive or store your full card number, card security code or online-banking password.

Discord message and translation data

When an eligible message is posted in a configured translation channel, the bot may temporarily process:

  • the message text;
  • the Discord server and channel ID;
  • the sender's Discord user ID and role information;
  • the detected language;
  • the translated English text;
  • technical information needed to repost or delete the relevant Discord message.

Before translation, the bot is designed to remove or exclude information that is not needed for translation, including:

  • Discord mentions and user IDs;
  • usernames;
  • web links and Discord invite links;
  • custom emoji;
  • attachments;
  • embed content.

Only the cleaned message text is intended to be sent to the translation provider.

AutoTranslatorEN does not intentionally save ordinary message content in its billing and configuration database after a successful translation. Message text may be held temporarily in memory while the translation is completed.

Limited information may appear in restricted technical logs where necessary to investigate an error, security incident or abuse report.

Support and communications

If you contact us, we may process:

  • your email address;
  • the contents of your message;
  • attachments you choose to send;
  • Discord server, user, invoice or payment references supplied by you;
  • our replies and support notes.

Do not send passwords, card details, API keys, recovery codes or Discord bot tokens.

Website and security data

The website and hosting services may record technical data such as:

  • IP address;
  • browser and device information;
  • request date and time;
  • pages or routes requested;
  • error and security-event information;
  • Stripe webhook-event identifiers.

2. Where personal data comes from

Personal data may come from:

  • you directly;
  • Discord and the Discord API;
  • messages and events processed by the Discord bot;
  • Stripe and Stripe webhooks;
  • server owners or administrators who configure bot settings;
  • our website, hosting and security systems.

3. Why we use personal data

We use personal data to:

  • authenticate users and connect website accounts to Discord;
  • identify Discord servers owned by the logged-in user;
  • provide translations and repost translated messages;
  • operate opt-in, role, channel and filter settings;
  • create and manage subscriptions and top-ups;
  • calculate character usage and maintain balances;
  • protect Stripe billing details when server ownership changes;
  • prevent duplicate payments or duplicate character grants;
  • investigate faults, security incidents and misuse;
  • respond to support and privacy requests;
  • meet accounting, tax, consumer-law and other legal obligations.

4. Lawful bases

We rely on one or more of the following lawful bases, depending on the activity:

Contract

Processing is necessary to provide the account, subscription, character top-up, translation service and support requested by the customer.

Legitimate interests

We have legitimate interests in:

  • operating and securing AutoTranslatorEN;
  • preventing fraud and abuse;
  • enforcing filters and access controls;
  • protecting billing information;
  • investigating faults;
  • maintaining reliable service records.

We consider whether these interests are outweighed by the rights and interests of affected individuals.

Legal obligation

Some data may be processed or retained to comply with tax, accounting, consumer-protection, fraud-prevention, court or regulatory requirements.

Consent

We will rely on consent where the law specifically requires it. You may withdraw consent at any time where consent is the lawful basis.

AutoTranslatorEN does not currently send marketing emails.

5. Information required to provide the service

Discord account, server and billing information is required to create an account, identify the selected server, protect billing details and provide a paid subscription.

Without the necessary information, we may be unable to provide the website account, translation service, subscription, top-up or support request.

6. Who receives personal data

Personal data may be processed by or shared with:

  • Discord, for login, server information, bot installation, commands and message handling;
  • Stripe, for checkout, payments, recurring subscriptions, invoices, payment recovery and the customer billing portal;
  • Microsoft Azure, for translation of cleaned message text;
  • Cybrancee and associated infrastructure providers, for website, database, email and Discord bot hosting;
  • professional advisers, insurers, courts, regulators or law-enforcement bodies where disclosure is legally required or reasonably necessary.

We do not sell personal data to advertisers or data brokers.

7. International data transfers

Discord, Stripe, Microsoft and infrastructure providers may process personal data in countries outside the United Kingdom.

Where an international transfer is made, the relevant provider is expected to use an applicable legal transfer mechanism, such as:

  • UK adequacy regulations;
  • the UK International Data Transfer Agreement;
  • the UK Addendum to approved standard contractual clauses;
  • another lawful safeguard or exception.

8. How long data is retained

We retain personal data only for as long as reasonably needed for the purpose for which it was collected.

Retention is determined using factors including:

  • whether the account or subscription remains active;
  • whether the information is needed to maintain a character balance or investigate a transaction;
  • legal, accounting and tax record-keeping requirements;
  • security, fraud-prevention and dispute-resolution needs;
  • the sensitivity and amount of the information;
  • whether a support issue remains open.

Purchase, invoice and accounting records may be kept for the period required by applicable tax and legal obligations.

Account, server, usage, filter and support records are reviewed and deleted or anonymised when they are no longer reasonably required.

Backup copies may remain for a limited period until they are overwritten through the normal backup cycle.

9. Automated filtering and access decisions

AutoTranslatorEN uses automated rules to check message content, user settings, roles, server settings, subscription status, character balances and bot-ban records.

These rules may:

  • leave a message untranslated;
  • block or delete an eligible message;
  • temporarily or permanently restrict a user's access to AutoTranslatorEN;
  • prevent translation when the server subscription or character balance is inactive.

These restrictions apply to AutoTranslatorEN and do not directly ban a user from Discord.

AutoTranslatorEN does not normally make solely automated decisions that produce legal or similarly significant effects on individuals.

Contact support@autotranslatoren.com to request review of a bot restriction that you believe was applied incorrectly.

10. Cookies

The website uses cookies or similar storage that are necessary for:

  • login sessions;
  • security;
  • CSRF protection;
  • remembering information required to provide the requested dashboard and checkout service.

AutoTranslatorEN does not currently use advertising, behavioural-tracking or non-essential analytics cookies.

If non-essential cookies are introduced later, this policy and the website's consent controls will be updated before those cookies are used.

11. Security

Security measures include:

  • restricted billing API access;
  • signed Stripe webhooks;
  • server-owner billing checks;
  • billing-owner protection during ownership changes;
  • environment variables for secret credentials;
  • database and hosting access controls;
  • filtering before translation;
  • server and database backups.

No online service can guarantee complete security. Please contact us promptly if you believe your account or personal data has been compromised.

12. Your data-protection rights

Depending on the circumstances and lawful basis, you may have the right to:

  • request access to your personal data;
  • correct inaccurate or incomplete data;
  • request deletion of personal data;
  • request restriction of processing;
  • receive certain personal data in a portable format;
  • withdraw consent where consent is relied upon;
  • complain to the Information Commissioner's Office.
Your right to object

You have the right to object to processing based on our legitimate interests. Contact privacy@autotranslatoren.com and explain which processing you object to.

These rights are not absolute. We may need to retain or continue using some information for legal, accounting, security, fraud-prevention or dispute-resolution reasons.

We may ask for information needed to confirm your identity before responding to a rights request.

14. Children and server members

Purchases are restricted to people aged 18 or over.

Discord servers may contain younger members where permitted by Discord and applicable law. Server owners are responsible for configuring and using AutoTranslatorEN appropriately and for making this Privacy Policy reasonably available to members whose messages may be processed.

15. Changes to this policy

We may update this Privacy Policy when the service, providers, security practices or legal requirements change.

The latest version and its update date will remain available on this page. Material changes will be communicated where required.
